Library Use
Institutional Membership
The Library of the Pontifical Biblical Institute is generally reserved for Professors and Students enrolled in this Institute.
For external users, requests for admission are assessed by the Library Manager and are limited to the specific requests to consult material not available in other libraries.
Depending on the institutional membership, the following may be required: payment and letter of surety.

Admission Procedure
Before receiving the library card, all users must:
- Present a document / documents confirming their identity and Institutional membership (e.g. university card; registration document; identity document etc.);
- (External users only) receive approval from the Library Manager of the letter of surety; in the case of students, the approval is valid for one year;
- Sign the admission form (knowledge of library regulations; use of the card and locker keys; authorization to process personal data);
- Fill in the "personal data" form;
- Where applicable, make the payment;
- Collect the card from the PIB Secretariat;
- Activate the card at the Library entrance.
Letter of Surety
- All external students (undergraduates and doctoral students) must present a letter of introduction on letterhead, signed by the professor under the direction of which they prepare the thesis. The letter is personally delivered to the library entrance, or via a scan sent by e-mail to the Head of the Library;
- Professors, lecturers and independent external researchers must deliver a letter, by hand or by e-mail addressed to the Library Manager, in which they explain the reasons why they intend to attend the library, attaching a short CV.
Card
- All users of the Biblicum’s library must have a personal identification card. This card is issued by the Secretariat of the Biblicum by Mr. Luca Valentino, from Monday to Saturday from 9.30 to 12.30.
- The card is necessary for the entrance and exit of the Library through the special turnstiles. It is also used for photocopying services.
- For daily users it is possible to access the library using the visitor badges, received at the desk after the delivery of the identity document. The badge must be returned to the Staff upon leaving the Library.

Note:
- All paid passes expire annually on September 30th.
- The validity of the cards:
- Annual: from October 1st to September 30th of the following year;
- Semester: within the semester indicated in the academic calendar. The first semester card expires on the last day of this semester; that of the second semester expires on September 30th;
- Monthly: 30 (thirty) continuous days (including Sundays) from the date of registration;
- Temporary: 10 daily entrances to be used from the registration date until 30 September. Admissions not used up to that date are lost.
- For annual passes there is the possibility of payment in two equal installments: the first on the day of registration, the second in 30 days after registration.
- There are no other types of paid entrance, other than those listed above, neither partial nor reduced.
- Scholars who collaborate in Jesuit Institutions can access the same conditions as for URBE users.
1. Library Mission
The Library, a subsidy that is absolutely necessary for the Institute (cf. Vinea Electa) is available to the professors and students of the Institute itself, which, both for the lessons and exercises, and for the personal work of the individual people, must provide the aids to books and periodicals which are necessary and useful for studies, including special, Biblical and Oriental studies (cf. Statute of the PBI Art. 65).
2. Library Purpose
In accordance with §1, the Library is conceived as a place of conservation of the Institute’s book heritage, where books and magazines are easily available, rather than as a library of loans which, except for the cases listed in Art . 4, in themselves are not allowed.
3. Library Management
In accordance with Art. 68 of the Statutes of the Institute, directs the Library the Librarian, a very competent and expert person of biblical and orientalistic questions, helped in his functions by a sufficient number of competent people and by the Library Council (cf. Statute of the PIB . Art. 68 a and 68 c).
4. Librarian Role
It is the Librarian’s task to maintain and plan the continuous updating of the Library’s heritage and its services, so that they are increasingly suitable for the scientific research of those who access them.
The following may access the Library:
Internal Users:
- Professors and students of the Institute, to whom professors and students of the Pontifical Gregorian University and of the Pontifical Oriental Institute are considered equivalent;
External Users:
- Former professors and alumniex students of the Pontifical Biblical Institute;
- Professors and students of institutions belonging to URBE (Roman Union of Ecclesiastical Libraries);
- Professors and researchers from other universities (ecclesiastical and non-ecclesiastical);
- Thesis students or doctoral students of other universities (ecclesiastical and non-ecclesiastical), with a letter of introduction from a professor specifying the reasons for the request for access and guaranteeing the scientific nature of the research to be carried out;
- Scholars who certify the need to use the assets present at the Library.
1. Conditions for Access
To access the Library you need:
- For teachers and students of the Institute, be provided with the badge issued by the General Secretariat;
- For external users, be provided with a paid access badge whose duration can be:
- Annual (1. October - 30 September)
- Half yearly
- Monthly
- 10 visits
- Daily
- Deposit bags, briefcases, jackets, coats, personal books and other objects in the special lockers located in the wardrobe room at the entrance to the Library. The Library is not responsible for personal objects or goods introduced by users into its premises or stored in lockers; if lockers are not available, the Staff is not required to keep users’ personal items or assets;
- Keep the locker key carefully and bring it back to the staff when leaving the library;
- Exhibit the personal badge at the request of the Staff also within the Library premises;
- Allow the Staff, if deemed appropriate, to verify the users’ possible possession of bibliographic or documentary material belonging to the Library;
- Show staff personal books at the time of entry and at the time of exit.
2. Library behavior
In the Library:
- An attitude must be kept, in the bearing and in the clothing, appropriate to the decorum of the institution;
- Care must be taken that the documents and furnishings are in no way damaged or the library’s assets depleted;
- Care must be taken not to disturb the study and concentration of others or in any way hamper the use of library documents or the work of library staff;
- The instructions communicated by the Library Staff must be followed.
More detailed provisions on this matter and any penalties are contained in the Special Rules of the Library.
- The Library does not offer personal or interlibrary loan services (cf. Statute of the PBI. 69) with the exception of the teachers and scientific collaborators of the Pontifical Biblical Institute (cf. Ordinationes ad Art. 69).
- The following are not loaned:
- Rare books (old, precious, rare editions);
- Encyclopedias;
- Dictionaries;
- Journals.
- Authorized persons can loan articles under the following conditions:
- Each user can simultaneously borrow a maximum of 10 volumes;
- Each user records the loan and the return of each volume on the auto-loan station;
- The maximum loan term for each volume is 1 month;
- The documents, having finished the work for which they were taken, must be returned to the Library as soon as possible;
- The Volumes cannot be taken out of the Biblicum’s Library (cf. Ordinationes ad Art. 69).
- When a user needs a document already on loan, the Library requests it from the borrower, who will make it available to the applicant as soon as possible, through the Library, who, in turn, will undertake to return it to him as soon as it is finished the consultation.
- Once the maximum loan term has expired, the Library sends users a reminder to request the return of the volumes. If the user still needs it, he must renew the loan. Loan of volumes cannot be extended beyond the 1 month deadline.
- Every year, before the summer period, the Library asks for the return of the books borrowed, in order to proceed with the work of checking and revising all the books and the borrower is obliged to return all the books he has on loan (cf . Ordinationes to Art. 70).
- If a borrowed book is not returned according to the above rules, the Library will procure a new copy at the borrower’s expense.

In the Library, behavior and clothing appropriate to the decorum of the institution; care must be taken with volumes and furnishings; do be careful not to disturb the study and concentration of others and not hinder the work of Library staff.
For this reason it is strictly forbidden:
- Bring books, magazines and any type of material out of the Library it belongs;
- Bring and use in the library scissors, knives, razor blades, razors, matches, adhesive tape, glue, ink bottles, liquid correctors and in generally any type of liquid, object or substance that could damage the library collections;
- Remove pages from books and / or journals, make marks or write, even in pencil, on books and Library documents;
- Conceal books and journals;
- Introduce bags, suitcases, backpacks and the like;
- Improperly use the furnishings, equipment and rooms and prevent full accessibility by other users of the space provided arrangement (e.g. change the arrangement and location of the tables and equipment; leave personal items on tables and chairs);
- Damage the Library’s assets in any other way;
- Disturbing other users in any way (ie: talking and studying ad aloud; answer calls; use noisy equipment such as music players, radios, mobile phones);
- To smoke;
- Introduce and consume food and drinks;
- Reproduce with photographic equipment of any type (e.g. film cameras, recorders, digital scanners, smartphones, tablets or others and the like) documents (books, magazines etc.) of the Library;
- Use computerized workstations for purposes other than consultation bibliographic catalogs, databases, electronic periodicals;
- To tamper, for any reason, with the structure of the software and the hardware equipment made available;
- Use premises, machinery and resources of various kinds of the Library outside the institutional aims that the latter sets itself;
- Alter the signs posted on the Library premises;
- Enter the storage rooms and places reserved for staff; enter without authorization in the Orientale Room;
- Use equipment and material that the Library Staff uses to perform its functions;
- Break other Library regulations subsequently promulgated by the Governing Body of the Pontifical Biblical Institute "Guide to the Library of the Pontifical Biblical Institute".
Taking into account the provisions of the Statute and Norms of Application of the PBI Art. 70, the penalties provided for those who do not observe the aforementioned behaviors are, depending on the seriousness of the infringements and recidivism:
- Verbal warning,
- Written warning,
- Temporary exclusion,
- The definitive exclusion from the Library.
The competent Authority for the application of the sanctions referred to in points a), b) and c) is the Head of the Library, for the sanction referred to in point d) is the Rector of the Institute.
In the event of material damage (e.g. premeditated damage, destruction or theft of a volume; deterioration of the furnishings; tampering with the electronic equipment of the Library, etc.), monetary compensation will be provided by the user in proportion to the damage caused.
The Pontifical Biblical Institute (hereinafter the "Institute"), with registered office in Via della Pilotta 25, Rome, declares to fall within the scope of the General Data Protection Regulation Personal (hereinafter the "Law"), with reference to the use of personal data (hereinafter the "Data"), including data considered "sensitive" (in the broadest sense of the term provided by law) is a say relating to racial or ethnic origin, religious faith, etc., provided by the person concerned.
Data Controller
The Data Controller is the Pontifical Biblical Institute in the person of the Rector and lawyer pro tempore representative Michael Francis Kolarcik domiciled for the post in Rome, Via della Pilotta, 25 (hereinafter the Owner).
Data Protection Officer
The Data Protection Officer is Michael Francis Kolarcik domiciled for the office in Rome, Via della Pilotta, 25 (hereinafter the Manager).
We may collect the following types of personal data about you:
- your name and contact information, such as address, e-mail address and telephone number, as well as date of birth, social security number and passport or identity card number, country of residence and nationality.
- We will assign a unique identification number for each user;
- information relating to your school, academic or professional experience and / or religious, under the title of your research, information relating to your location working;
- sensitive personal data: information relating to the religious profession, one’s status religious, to belonging to religious groups, will be treated only for the permitted purposes by law and only for the tasks of the Institute. Sensitive data also means all information relating to a special category of users with disabilities.
If the interested party does not give his consent to the processing of sensitive data, the Institute will not will be able to register it in the computer systems or keep the information in paper archives and the user will not be able to access the library services.
Personal data are processed in paper or electronic format. In the latter case, they will come computer systems used. The Data will be kept exclusively for the time and scope for which they were collected. The Data will be kept for a period of 3 years from the last renewal and returns available to interested parties in accordance with the provisions of the Regulations.
At the end of the three-year period, the data will be made anonymous and stored only for statistical purposes.
Specific security measures are adopted to prevent data breaches, illicit or unlawful use correct and unauthorized access.
Your image and information will also be processed by the Institute with the help of electronic or automated means. The Data will be processed for the following purposes:
- to access the use of Library resources and services. Data processing activities relevant will be the admission procedure, registration, attendance, the communication between the staff of the Institute and users;
- for editorial / digital / paper activities, for the Institute’s communication / promotion purposes or the Jesuit Consortium in Rome or the Gregorian University Foundation in Washington requiring the use of images created within the Institute;
- for internal organization, including the assignment of the card for access to servicesof the Institute’s Library or that of the Pontifical Gregorian University and the Pontifical Oriental Institute. Furthermore, for the same reasons, the collected data can be used for purposes statistics and research in anonymous and aggregate form;
- for sending periodic newsletters, as well as notices and invitations to participate in events cultural and social initiatives proposed by the Institute;
- for the purposes of library services, the Data may also be stored in the libraries of the Pontifical Gregorian University and the Pontifical Oriental Institute of Rome, to allow facilitated access, among other things, to the services and materials contained therein, to use of books and other publishing products, for access to the reference rooms and, more generally, to benefit from all the services offered by the Libraries;
- for research and statistical purposes;
- for compliance with legal obligations.
It should also be noted that the Institute may transmit some Data to other organizations if this is the case necessary to fulfill legal obligations (for example identification or prevention of crimes or if however required by law).
Personal data can be accessed by IT personnel or by the libraries of the Institute or of the Pontifical Gregorian University and the Pontifical Oriental Institute, as well as the other subjects that provide services to the Institute which, in relation to the services performed, have access to the Data.
All this, always in relation to the purposes indicated above.
The biographical data are essential for the attendance of the Library and for the use of the services therefore the refusal to process prevents this academic institution from offering its services librarians. The data you provide will be stored on servers located in the Vatican area and within of the European Economic Area.
Your data is necessary:
- for the execution of the relationship with you or to take measures at your request;
- to carry out our internal organization and communication tasks institutional;
- for the legitimate interests of third parties.
However, the Data can be used if:
- your consent has been given;
- it is necessary to comply with a legal obligation.
The Data Controller does not adopt any automated decision-making process, including profiling, of which in Article 22, paragraphs 1 and 4, of EU Regulation no. 679/2016.
Data subjects have the following rights:
- request to correct the personal data we hold about them if they are not correct;
- request the deletion of personal data; request to limit our Data processing activities (and, if our processing is based on the relative consent, it is possible to revoke this consent, without compromising the legitimacy of our consent-based processing prior to its withdrawal);
- receive from us the personal data that we hold and that have been provided to us, in a format reasonable specified, including the purpose of the transmission to another Data Controller;
- oppose, for reasons connected with their particular situation, to one of ours particular processing activities if this is deemed to have an impact disproportionate to their rights.
Please note that the above rights are not absolute and we may have the right to refuse requests in case of exceptions.

All users wishing to access the library must:
- Respect all the instructions provided by the staff of the Institute.
- Wear a protective mask and wear it throughout your entire stay in the Institute (concierge, corridors, lift, stairs, library, etc.). Only CE certified surgical masks and FFP1, FFP2, FFP3 masks, without valves, are allowed.
- Do not use gloves, but often disinfect your hands thanks to the appropriate sanitizing gel dispensers, in particular: at the entrance of the Institute; before handling books; before using commonly used library equipment (computers and copiers).
- Respect the safety distance of at least 1.5 m.
- Use the lift one person at a time.
- Go through the appropriate decontamination carpet at the entrance of the Institute.
- Have your body temperature measured with the appropriate thermal scanners. In this regard, we remind you of the obligation not to enter the premises of the Institute in the presence of fever (over 37.5 ° C) or other flu symptoms.
- Sit exclusively at the study station assigned by the library staff.
- Do not enter the reserved area of the offices (second floor). To contact internal staff, use the bell and wait.
- Do not consume food of any kind inside the Institute.
The books returning in the library after being borrowed will not be in circulation for the following 72 hours as they are subject to quarantine.
